Job Details

Our client is seeking a highly intelligent, detail-oriented, and proactive Executive Assistant to support their CEO. This role is crucial in ensuring the smooth operation of their executive office, requiring a professional who excels in organization, communication, and multitasking. The ideal candidate will possess the ability to manage high-priority tasks with discretion, efficiency, and a polished demeanor.


Key Responsibilities

Administrative Support

  • Manage and maintain the CEO’s schedule, including appointments, meetings, and travel arrangements.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Handle confidential information with the utmost discretion.

Meeting Coordination

  • Coordinate and prepare for meetings, including scheduling, agenda preparation, and distribution of materials.
  • Record meeting minutes and follow up on action items to ensure timely completion.

Communication Management

  • Act as the primary point of contact between the CEO and internal/external stakeholders.
  • Screen and prioritize incoming communications, responding on behalf of the CEO when appropriate.

Project Management

  • Assist in the planning and execution of special projects, ensuring they are completed on time and within scope.
  • Conduct research, compile data, and prepare reports and documents as needed.

Travel Coordination

  • Arrange detailed travel plans, itineraries, and agendas for both domestic and international trips.
  • Prepare travel expense reports and ensure timely reimbursement.

Office Management

  • Oversee the organization and coordination of office operations and procedures.
  • Manage office supplies inventory and place orders as necessary.

Other Duties

  • Handle personal tasks for the CEO as needed.
  • Perform other duties as assigned to support the CEO and executive team.

Qualifications

  • Education: Bachelor’s degree preferred.
  • Experience: Minimum of 3 years of experience as an executive assistant or in a similar role.

Skills

  • Exceptional organizational and time-management skills.
  • Excellent verbal and written communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong problem-solving skills and the ability to think strategically.
  • High level of discretion and confidentiality.

  • Strong interpersonal skills and the ability to build relationships with stakeholders.
