Job Details
Our client is seeking a highly intelligent, detail-oriented, and proactive Executive Assistant to support their CEO. This role is crucial in ensuring the smooth operation of their executive office, requiring a professional who excels in organization, communication, and multitasking. The ideal candidate will possess the ability to manage high-priority tasks with discretion, efficiency, and a polished demeanor.
Key Responsibilities
Administrative Support
- Manage and maintain the CEO’s schedule, including appointments, meetings, and travel arrangements.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Handle confidential information with the utmost discretion.
Meeting Coordination
- Coordinate and prepare for meetings, including scheduling, agenda preparation, and distribution of materials.
- Record meeting minutes and follow up on action items to ensure timely completion.
Communication Management
- Act as the primary point of contact between the CEO and internal/external stakeholders.
- Screen and prioritize incoming communications, responding on behalf of the CEO when appropriate.
Project Management
- Assist in the planning and execution of special projects, ensuring they are completed on time and within scope.
- Conduct research, compile data, and prepare reports and documents as needed.
Travel Coordination
- Arrange detailed travel plans, itineraries, and agendas for both domestic and international trips.
- Prepare travel expense reports and ensure timely reimbursement.
Office Management
- Oversee the organization and coordination of office operations and procedures.
- Manage office supplies inventory and place orders as necessary.
Other Duties
- Handle personal tasks for the CEO as needed.
- Perform other duties as assigned to support the CEO and executive team.
Qualifications
- Education: Bachelor’s degree preferred.
- Experience: Minimum of 3 years of experience as an executive assistant or in a similar role.
Skills
- Exceptional organizational and time-management skills.
- Excellent verbal and written communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong problem-solving skills and the ability to think strategically.
